How to set the right duration for each service

Avoid delays and unnecessary gaps by using appointment lengths that reflect how your team really works.

Avoid delays and unnecessary gaps by using appointment lengths that reflect how your team really works.

Begin with the way the business already works

Online booking should simplify the operation, not force the team into an artificial process. List the services customers can book, who can provide them, how long they realistically take, and the working hours that should be available.

Give customers enough information to choose

Use clear service names and short descriptions. Ask only for details needed to reserve the time or prepare for the appointment. Anything that can wait until the visit should not become another obstacle in the booking form.

Protect the schedule

  • Add realistic preparation and cleanup time where needed.
  • Send a confirmation immediately after the booking.
  • Use one or two useful reminders instead of repeated messages.
  • Explain cancellation and rescheduling rules in plain language.
  • Keep availability synchronized with the team’s actual calendar.

Review what happens after launch

Watch for abandoned forms, recurring customer questions, late starts, and unused gaps. Small adjustments to duration, wording, reminders, and availability usually improve the schedule more than adding more features.
